The following guidelines from Policy IC/ICA and negotiated agreements are to be used in cases where school is canceled or delayed due to inclement weather or other emergencies:
IF SCHOOL IS DELAYED:
In the case of an unexpected delayed start, all employees are required to report to work at their regular times, provided it is safe to do so. The sole exception is if a 2-hour delay is announced with the stipulation of a reassessment. In such instances, employees are not expected to report until after the final decision is communicated. Certain staff members, such as facilities and district office staff, may be contacted by their supervisor to come in and perform tasks to prepare for the school day.
If it is unsafe to report at the regular time, employees should report to work before students arrive at school. Employees must inform their designated building contact person if they anticipate a delay beyond the student start time. If an employee is delayed by more than two hours or cannot make it to work due to road conditions, they must record the absence in the Absence Management system and categorize it as Unpaid Leave, Vacation, or Personal Leave if applicable.
Morning Pre-K sessions will be canceled, but Pre-K leaders of morning preschool sessions are still required to report to work following the guidelines outlined above.
IF SCHOOL IS CLOSED*:
Teachers and Other Licensed Specialists are not required to report to work when the school is closed, and there is no need to call the Absence Management System. No staff member will need to make up the first day of closure. However, any subsequent closure days will be rescheduled later in the school year.
Educational Assistants and 9,10,10.5,11 (see below for lead secretaries) month Classified Employees are not required to report to work when the school is closed, and there is no need to call the Absence Management System. No staff member will need to make up the first day of closure. However, any subsequent closure days will be rescheduled later in the school year.
Food Service Workers and Kitchen Managers are not required to report to work when the school is closed, and there is no need to call the Absence Management System. No staff member will need to make up the first day of closure. However, any subsequent closure days will be rescheduled later in the school year. If you report to work before receiving notice that school is closed, you need to document the actual hours worked on your time sheet for compensation.
*Twelve-month Custodians and Maintenance Workers are required to report to work if road conditions permit. In the event that attendance is not possible, they should contact the facilities secretary to report the absence, specifying it as Unpaid Leave, Vacation, or Personal Leave if applicable. The sole exception to this policy is the first snow day, which will not necessitate the utilization of leave. Any twelve-month custodians/maintenance workers capable of safely attending work on the initial full closure day, will record their hours on their timesheet and receive additional compensation for the hours worked.
Lead Secretaries & 12 Month Classified Employees are required to report to work if road conditions permit. In the event that attendance is not possible, they should notify their Supervisor and also report the absence, specifying it as Unpaid Leave, Vacation, or Personal Leave if applicable. The sole exception to this policy is the first snow day, which will not necessitate the utilization of leave. Any workers capable of safely attending work on the initial full closure day, will record their hours on their timesheet and receive additional compensation for the hours worked.
*Administrators, Confidential Staff, Managers and Supervisors are required to report to work if conditions permit. In the event that attendance is not possible, they should notify their Supervisor and also report the absence, specifying it as Unpaid Leave, Vacation, or Personal Leave if applicable. The sole exception to this policy is the first snow day, which will not necessitate the utilization of leave.
MISSED DAYS MAY BE MADE UP ON THE DAYS DESIGNATED AS “POSSIBLE SNOW MAKE-UP DAYS” ON THE 2023-24 SCHOOL CALENDAR. EMPLOYEES WILL BE EXPECTED TO WORK AS USUAL ON ANY RESCHEDULED DAYS.
When the District has information about a potential multi-day closure event in advance it may consult with the administration and associations to plan for virtual instruction to alleviate the need to add days to the end of the school year.
*To meet the operational needs of the District, the Superintendent may grant exceptions to the above requirements.
